This policy explains what Norwell ("Norwell," "we," "us") does with the information you give us through norwellhq.com, our phone lines, and our chat widget. Norwell is operated by Oskar Naworol, Szczecińska 90, 73-110 Stargard, Poland. Questions about anything here: [email protected].

The short version

  • We collect only what you give us — your name, number, email, and what you need.
  • We use it to reply to you and nothing else.
  • We never sell your data, and we never share your phone number or SMS consent with anyone for marketing.
  • Calls to our lines may be answered by AI and recorded. You'll be told at the start of the call.
  • Reply STOP to any text and we stop texting, immediately and permanently.

1. Information we collect

We collect only the information you choose to give us:

  • Contact details you submit through our chat widget, or by calling or texting us — your name, phone number, email address, and business name.
  • Message content you send when you start a conversation or ask a question.
  • Call information. Calls to our business line or demo line may be answered by an automated AI assistant, and may be recorded or transcribed so we can respond to you accurately. Where a call is recorded, you are told at the start of the call and may end it at any time if you prefer not to be recorded.
  • Basic technical data your browser sends automatically, such as IP address and device type, used only to keep the Site working and secure.

We do not collect payment card details through the Site. We do not knowingly collect sensitive personal data, and we ask that you don't send any.

2. How we use your information

We use what you give us to:

  • Respond to your enquiry and continue the conversation you started;
  • Schedule and follow up on a demo or consultation you asked for;
  • Send you messages about a request you made to us;
  • Keep our own business records, and meet our legal obligations.

We do not use your information to build advertising profiles, and we do not make automated decisions about you that produce legal or similarly significant effects.

3. Why we're allowed to use it

Under the GDPR, our lawful bases are:

  • Your consent — for text messages, and for recording calls. You can withdraw consent at any time.
  • Steps taken at your request before entering a contract — for responding to your enquiry and arranging a demo.
  • Our legitimate interests — for keeping the Site secure and maintaining ordinary business records, balanced against your rights.
  • Legal obligation — where we're required to keep or disclose records.

4. SMS and text messaging

If you give us your phone number through our chat widget or by texting us, you consent to receive text messages from Norwell related to your enquiry. Message and data rates may apply. Message frequency varies.

You can opt out at any time by replying STOP. Reply HELP for help. Opting out stops all further text messages from us.

We do not share, sell, or rent your mobile phone number or SMS consent to any third party for marketing purposes. No mobile information is shared with third parties or affiliates for their own marketing or promotional use.

5. How we share information

We do not sell your personal information, and we never have.

We share it only with the service providers that let us run the Site and talk to you — our website and CRM platform, our telephony and messaging providers, our AI call-handling provider, and our scheduling tools — and only so they can perform those services for us under contract.

We may also disclose information where the law requires it, or to establish or defend legal claims.

6. Where your information goes

Some of our providers are based in the United States, so your information may be transferred outside the European Economic Area. Where that happens we rely on appropriate safeguards — such as the European Commission's Standard Contractual Clauses, or the provider's certification under the EU–US Data Privacy Framework. You can ask us for details of the safeguards that apply.

7. Cookies

The Site uses only the cookies needed to make it work and keep it secure, plus any set by our website platform for the same purpose. We do not run advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings; the Site will still work.

8. How long we keep it

We keep enquiry information for as long as we're in contact with you and for up to 24 months afterwards, so we can pick up where we left off if you come back. Call recordings and transcripts are kept for up to 12 months. Records we're legally required to retain — such as accounting records — are kept for the period the law requires. After that, information is deleted or anonymised.

9. Your rights

You have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent at any time.

Email [email protected] and we'll respond within one month. There's no charge, and you don't need to give a reason.

If you think we've handled your information badly, you can complain to your local data protection authority. In Poland that's the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw. We'd rather you told us first so we can fix it.

10. Data security

We take reasonable technical and organisational measures to protect your information, and we only work with providers who do the same. No method of transmission over the internet is completely secure, so we can't guarantee absolute security.

11. Children's privacy

The Site is not directed to children under 16, and we do not knowingly collect information from them. If you believe a child has given us information, email us and we'll delete it.

12. Changes to this policy

We may update this policy from time to time. The current version is always on this page with its effective date. If we make a material change to how we use your information, we'll tell you directly where we reasonably can.
